The Office of Student Activities is seeking a highly motivated and organized individual to join our team. This position plays a crucial role in supporting the planning, coordination, and execution of a wide range of student programs and activities. The Student Activities Assistant will work closely with the Student Activities team to provide administrative support, assist in event management, advise student leaders, supervise student employees, and contribute to the overall success of the office.

Duties and Responsibilities:
Administrative Support:
- Assist with maintaining program budgets, expense tracking, and financial documentation.
- Prepare and distribute promotional materials, including flyers, posters, digital content, and regular calendar updates.
- Maintain accurate records, databases, and contact lists of student organizations, participants, and program evaluations.
- Coordinate scheduling, room reservations, and logistics for events and meetings.
- Respond to inquiries and provide information to students, staff, and faculty regarding student programs and activities.
- Track and report attendance and participation at events and programs.
Event Coordination:
- Assist in the planning and execution of various student programs and activities, including but not limited to social events, workshops, conferences, and performances.
- Collaborate with student organizations and other campus departments to coordinate logistics, secure resources, and ensure smooth event operations.
- Help set up and dismantle event spaces, arrange equipment, and oversee technical requirements.
- Monitor and supervise events to ensure compliance with policies, safety guidelines, and proper conduct.
Communication and Collaboration:
- Maintain effective communication channels with student organizations, campus departments, and external vendors to facilitate program coordination.
- Collaborate with the Student Activities team to generate new ideas and develop innovative programs that meet the diverse interests and needs of students.
- Actively participate in meetings, team discussions, and training sessions to contribute insights and share progress updates.
- Foster positive relationships with students, providing guidance and support to promote their involvement in activities and initiatives.
Student Leadership Development:
- Assist in the development and implementation of leadership training programs and workshops for student organization leaders.
- Encourage student participation and engagement in leadership development initiatives to foster personal and professional growth.
Advising of Student Leaders:
- Serve as an advisor and mentor to student leaders of various student organizations.
- Provide guidance and support in the development and execution of their organization's goals, programs, and initiatives.
- Assist student leaders in navigating administrative processes, including budgeting, event planning, and campus policies.
- Foster a positive and inclusive environment that encourages student leadership, collaboration, and personal growth.
- Conduct regular check-ins and meetings with student leaders to provide feedback, assess progress, and address any concerns or challenges.
Supervision of Student Employees:
- Assist with the recruitment, hiring, training, and scheduling of student employees within the Office of Student Activities.
- Provide supervision, mentorship, and performance feedback to student employees to ensure their professional development and success.
- Assign tasks and projects to student employees, delegating responsibilities effectively and providing necessary resources.
- Coordinate work assignments and prioritize tasks to meet deadlines and ensure smooth office operations.
- Foster a positive work environment, promoting teamwork, communication, and a strong work ethic among student employees.
Essential Qualifications:
- Bachelor's degree in a relevant field (e.g., higher education, student affairs, communications) preferred.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Proficiency in using office software and technology platforms, including word processing, spreadsheets, and presentation software.
- Ability to work collaboratively in a team-oriented environment.
- Demonstrated ability to work independently, take initiative, and solve problems.
- Flexibility to work evenings and weekends as needed to support program activities and events.
